    Track Technologies Limited ("Track", "we", "us", or "our") is a company registered in Ireland. We are committed to protecting your personal data and respecting your privacy in accordance with the General Data Protection Regulation (EU) 2016/679 ("GDPR"), the Data Protection Acts 1988–2018, and all other applicable Irish and European data protection legislation.

    This Privacy Policy explains how we collect, use, store, and protect your personal information when you use Track's platform, services, and connectors (collectively, the "Services").

    2. Who We Are

    Track Technologies Limited acts as a data controller in respect of personal data collected through our Services. Where we process data on behalf of business customers, we may also act as a data processor.


    3. What Data We Collect

    We may collect and process the following categories of personal data:

    • Account information: name, email address, job title, and organisation name provided at registration.
    • Usage data: log files, IP addresses, browser type, pages visited, and feature interactions.
    • Analytics data: when you visit our website with cookies accepted, Google Analytics collects information about your visit, such as the pages you view, the page you arrived from, your approximate location, and details of your device and browser. See Section 9 for full details.
    • Communication data: messages, support tickets, and feedback submitted to us.
    • Integration data: data retrieved via third-party connectors (see Section 7 below).
    • Payment information: billing details processed securely by our payment provider.

    5. Data Retention

    We retain your personal data only for as long as is necessary for the purposes set out in this policy, or as required by applicable law. Where you delete your account, we will delete or anonymise your personal data within 30 days, subject to any legal retention obligations.


    6. Data Transfers

    Track is based in Ireland and primarily processes data within the European Economic Area ("EEA"). Where we transfer data outside the EEA, we ensure that appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission.


    7. Third-Party Connectors — Integrations (e.g. Gmail, Google Drive)

    Track offers optional connectors that allow you to link your third-party accounts to the Services, including integrations (e.g. Gmail, Google Drive). This section describes specifically how we handle data accessed through these connectors.

    7.1 Authentication and Access

    In order to use these integrations, you must authenticate directly to your third-party account first. Access is granted via the standard OAuth 2.0 protocol, meaning you explicitly authorise Track to access your integration data (e.g. Gmail, Google Drive). Before individual users on Team or Enterprise plans can authenticate, an account Owner or Administrator must enable the connector at the account level.

    Track can only access the data for the account you have connected. Each user's or organisation's connection to a third-party integration is properly authenticated and authorised for only that specific user or organisation. Track does not have the ability to access or transfer data between different users' connected accounts; each connection is bound to the specific authentication credentials of that individual user or organisation.

    7.2 Minimum Necessary Access

    Track mirrors your existing permissions — you cannot access information through the connector that you do not already have access to in the connected integration. Our connectors only retrieve the minimum information needed to perform the action or answer the query you have requested. Track only accesses your integration data when you explicitly ask a question or trigger a workflow that requires this information.

    7.3 Data Storage and Security

    Data retrieved via integration connectors is temporarily stored on Track's servers and is protected by our security infrastructure. This data is retained in association with the specific session or workflow that generated it. You can delete any retrieved data by deleting the relevant session or workflow record within your Track account.

    7.4 Model Training

    We do not train our models or algorithms on your integration data. Your private information remains private. Data accessed through the connectors is used solely to fulfil the specific task you have requested and is not used to improve, retrain, or fine-tune any Track models without your explicit consent.

    7.5 No Creation or Modification (Read-Only)

    Unless explicitly stated otherwise in the relevant product documentation, Track's integration connectors operate in read-only mode. These integrations do not support creating, modifying, sending, or deleting content in your connected accounts.

    7.6 Revoking Access

    You may revoke Track's access to your connected integrations at any time by:

    1. Disconnecting the integration within your Track account settings; or
    2. Visiting the permissions settings of the relevant third-party provider and revoking Track's access directly.

    Upon revocation, Track will cease accessing your integration data and will delete any stored connector data within 30 days.


    8. Sharing Your Data

    We do not sell your personal data. We may share your data with:

    • Service providers: trusted third-party vendors who assist us in operating the Services (e.g., hosting, analytics, payment processing), subject to appropriate data processing agreements.
    • Business transfers: in the event of a merger, acquisition, or sale of assets, your data may be transferred to the relevant party as part of that transaction.
    • Legal requirements: where we are required to disclose data by law, court order, or regulatory obligation.

    9. Cookies and Tracking Technologies

    We use cookies and similar technologies to operate and improve our Services. You can manage your cookie preferences at any time through the Cookie settings link in the footer of our website.

    9.1 Google Analytics

    Our website uses Google Analytics, a web analytics service provided by Google LLC ("Google"). When cookies are accepted, Google Analytics collects information about how visitors use the site, including:

    • The pages you view and how long you spend on them.
    • The website or search engine that referred you to us.
    • Your approximate location (country or city, derived from your IP address).
    • Details of your device, browser, and operating system.
    • Events such as clicks on buttons and completed contact forms.

    Google Analytics sets cookies in your browser (including the _ga cookie) to recognise returning visitors and distinguish them from new ones. Google Analytics does not log or store your full IP address in association with this data. We do not send Google Analytics any information that identifies you personally, such as your name, email address, or the content of your messages.

    9.2 Consent and Analytics Cookies

    Google Analytics runs with cookies disabled until you choose Accept in our cookie banner. If you accept, analytics cookies are enabled and Google Analytics collects the data described above. If you reject, analytics cookies remain disabled. You can change your choice at any time through the Cookie settings link in the footer.

    As a data subject in Ireland or the EEA, you have the following rights:

    • Right of access: to obtain a copy of the personal data we hold about you.
    • Right to rectification: to have inaccurate data corrected.

    12. Security
